Financial Services

Each association has special needs. Therefore, each association’s accounting is managed as an individual entity. Our software has comprehensive and flexible reporting options that allow us to customize the end-of-month financials per the needs of each Board of Directors. Moreover, the software is an established leader in accounting management and comes with effective technical support, allowing us to forward our IT savings to you, the client.​

​ING Management Group offers accounting services unique to the client. On behalf of the Association, we'll take over billing and receipt of assessments and other amounts due to the Association. Receipts are deposited in an operating account under the Association's name and are never co-mingled with any other party's funds. We work with the Board of directors to formulate the best financial stategy for your Association's needs.

Financial reports are generated every month for every property and are available upon request or on the Association's webpage*. ASSOCIATION MANAGEMENT

ING Management Group prides itself on providing the most comprehensive, professional and personalized property management services on the East coast of Florida. We understand that each client property is unique, and potentially requires a unique set of services to be effectively managed.

​Our contracts are specifically designed to meet your individual needs. Working very closely with your Board of Directors, we will establish the management program best suited for your property.

Your association’s property manager will be selected for your community based upon such factors as your specific needs, geographic location, property condition and age, number of units, size of property, and number of maintenance personnel, anticipated administrative workload, and the manager’s individual strengths. We believe the combination of your property manager and our senior staff, comprise a surprisingly strong management team.

Board, Membership & Management Interaction

The Board of Directors key responsibility is to make decisions and determine policy. As the management company, it is ING Management Group’s responsibility to implement those policies and decisions made by the Board, with recommendations made when necessary. It should not be the Board’s duty to micro-manage the Association; that is the management company’s job.

Advanced Systems

As part of the transition program, ING establishes the systems necessary to handle the day to day operation of a community such as property inspections, delinquency programs, and violation notifications and fines. The procedures used at the property are predetermined by the association’s documents and Board of Directors. They set forth specific guidelines for use by the manager at the subject property. These “action tables” are programmed into our systems, allowing us to actively monitor and pursue work orders; delinquencies and violators until the problem is rectified.

Self-Managed?


We are often asked why a self-managed community association should consider a professional, licensed, and experienced management company. Below you will find a list of the key reasons and benefits:

>>Experience– The Board of Directors of a Community Association is comprised of owners who care about their building and community. They volunteer their time and energy to ensure the Association is run optimally. In most cases, the Directors are experts in their own field but not necessarily Association Management. Professional association management companies are specialists that bring industry best practices to your community.

>>Personnel– Associations do not need to be in the employment business. A management company can provide a full team of trained management professionals and take on all of the Human Resources, Payroll, Training, Insurance, and other employer responsibilities. This includes replacement personnel, if required. It also removes the Directors from directing, disciplining, and possibly terminating personnel who work in the building they live.

>>Role– A Board of Directors’ role is to establish strategy, policy, and direction, and to make decisions on management recommendations. In a self-managed Association, the Board takes on the day-to-day management role. Professional management companies allow the Board to return to its primary role of leadership and oversight.

>>Buffer– Residents who live in Associations must live within the covenants and rules of the governing documents. Management companies provide a buffer between the Board and their neighbors while ensuring the governing documents are honored.

>>Continuity– The Board of Directors can and often does change every year. It is very difficult to run any organization without consistency. Management companies provide continuity during transitional periods.

Compliance– Management companies can ensure your Association stays in compliance with the ever-changing regulatory environment.

>>Economies of Scale– Management companies have preferred bulk purchasing arrangements with many providers. These savings should be passed on to the Association with no benefit to the management company. In most cases, management companies provide a higher level of service at lower cost.

>>Technology– Management companies have state of the art technology in the areas of communication, web applications, security, finance, reporting, and resident convenience.

24 /7 Coverage– Most management companies have 24/7 coverage of licensed staff on call for all Association emergencies.

>>Accountability– Most management companies provide metrics and reporting that allow the Board to objectively measure the management function.

Concerns

Associations that are self-managed have legitimate concerns about changing to professional association management. Below are some of the concerns most often raised:

>>Control– We often hear that Boards are concerned that they will lose control if they hire a management company. Management companies will bring their expertise to your community and will make recommendations but decision making remains with the Board. Simply put, management executes the decisions of the Board.

>>On-site personnel– Boards can be understandably concerned about what happens to the people who work in their building. During transition to a professional management company, most management companies will recommend retaining the existing team and provide additional support, training and evaluation. If we believe certain staff should be replaced, we will make this recommendation to the Board but control remains with the Board. Employees usually embrace the additional support, training, benefits, and career opportunities.

>>Contract– How do I get out of a management contract if I am not happy? Most management contracts provide 30 or 60 day termination provisions.

Communication– We have always known exactly what is happening in the building, what will happen now? We provide real-time online access to all of your Association records. In addition, we provide a monthly comprehensive management report.

Conclusion

Professional association management provides expertise, technology, and resources not available at self managed Associations. Most of the time this is achieved at the same or lower cost than your current budget. Control of the Association remains with the Board and owners of the building. There are significant measurable benefits with little downside.

Transition:
At the ING we believe that this should be an exciting time in the evolution of an association, and we have designed a process that allows for a smooth transition. Our preparation begins well in advance of the turnover as we educate unit owners and set proper expectations. Most of the pitfalls we have all experienced in this phase can be avoided with proper planning and education. Once again, developer resources that would normally be dedicated to this process can be allocated elsewhere.

Answers to Your Top Property Management Questions

What types of properties does ING Management Company manage?

We manage residential, commercial, and CO-OP, Condominum, HOA, Mobile, and commericial, individual owners properties to maintain their value and functionality.

How do you request for an Architectural form for your home/unit?

See SERVICES, click on ARCHITECTURE REVIEW REQUEST. All spaces must be filled out then association will receive email, then it will be forwarded to committee.

Also the Architectural Form is in your account.

What is your process for screening potential Owners/tenants?

Our screening process includes background checks,

An applicaiton is downloaded, fully read requirements, submit executed contract, Picture Id, payment (to ING), etc. Some associations require meeting new residents which you will be informed.

How do you handle maintenance requests

We handle outside , common area maintenance, not indoors. However, If you're a Condo, CO-OP, and having plumbing behind the wall then contact management, this is Associaiton responsibilty.

If you see something , report it. On our web page see SERVICES, REPORT A VIOLATION/CONCERN. it is sent to management office. If you have pictures we process efficiently. Reporters remain anonymous.

Can I access financial reports for my property?

Yes, clients have access to comprehensive financial reports, minutes, Declaration, etc. through our secure online portal. Once you are an owner, you are provided with password where you will have access to make payments and check your account at your leisure, ect.

What measures do you take if a resident is disruptive?

We issue a prompt reminder, followed by a formal notice, and proceed with legal eviction in worst case scenerios.

Once management is notified of a situation via email, phone, and online complaint pictures (SERVICES), ING takes action, whether simple or by Board directive, ING will act. Depending on the concern or complaint, there may be an immediate resolution or a letter providing 10-day compliance, as Florida statutes require it for each item. The Board is always informed in our reports. Management may pursue with a simple phone call, or if a repeat offender, a letter/email is communicated to the owner, the tenant is included detailing the item and requiring a deadline to comply.
